Job DetailsJob Location: Early Head Start SB - San Bernardino, CAPosition Type: Full TimeSalary Range: UndisclosedJob Shift: DayProgram Summary:Volunteers of America is a federal and stated funded comprehensive early childhood education program with a focus on child development that includes a child's cognitive, physical and social emotional growth and development. The program fosters Family Engagement in all areas of a child's development and provides comprehensive resources to low income families in the areas of health, nutrition and community resources.Position Summary:Under the direct supervision of the Director of Preschool Services, the Office Assistant III will serve as the liaison to the VOASW Human Resources Department, prepare purchase orders and track expenditures for EHS & State Preschool, manage the administrative office, review payroll, and office filing systems and organize all functions of the office.Essential Duties and Responsibilities:* Adhere to Volunteers of America Policy and Procedures.* Post staff openings on employment sites as needed.* Preliminary screening of applications for minimum qualifications.* Establish interview panels and notify candidates and maintains interview packets.* Complete the required paperwork for all work-related injuries and submit within required timeframes to the Human Resources Department.* Dispense and control petty cash funds.* Create purchase orders for all EHS & Preschool sites and track expenditure against budgets.* Initiate all EHS & Preschool orders for supplies, equipment, and service vendors.* Interface with VOA Corporate Finance when needed.* Create letters, documents as needed for Director of Preschool Services.* Maintain calendar of activities for program operations.* Maintain tracking for EHS & State Preschool employees for permits, TB tests, etc.* Notify staff when permits/physicals and/or fingerprints need to be renewed.* Maintain personnel training log for staff.* Maintain payroll-tracking system and generate back up required for the generation of payroll.* Create correspondence to Corporate office when needed.* Record, transcribe, and distribute minute meetings and agendas.* Implement systems to increase productivity and administrative effectiveness.* Type letters, reports, forms and other finished copies from rough drafts or dictation.* File all papers, documents, reports, etc. for Director's records.* Maintain master licensing file.* Other duties as assigned by the Director.Equal Opportunity EmployerApplications are accepted online. This employer participates in E-Verify.Required Credentials, Abilities and Experience:Education:* Associates degree required; Bachelor's degree preferred.Experience:* 5-7 years of experience in an office assistant/clerical role.Knowledge and Skills:* Must have ability to read, write, and speak English. Bilingual in Spanish preferred.* Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel).* Excellent time management and organizational skills.* Communication skills that foster appropriate interaction with staff and outside agencies.* Must have knowledge of Head Start Performance Standards.
